J. Walter Thompson - Storage Audit, Standardisation and Reductions


JG Regan undertook a filing and storage audit for this prestigious, London-based advertising agency, in preparation for the relocation of 900 people to Knightsbridge.

Our brief was to quantify the total linear metres of storage currently being held, and to highlight items that would require specialist storage solutions.

Following the audit and a workflow analysis, our team implemented a large-scale reduction program, including a standardisation of filing media, archiving of records in accordance with retention schedules and the secure destruction of appropriate documents, magnetic media and tapes.

As a direct result of the implementation of our recommendations, J. Walter Thompson were able to reduce their storage by 60%, and saved over £200,000 in storage costs! In addition to these considerable savings, they are also operating in a more flexible and efficient manner.

Vodafone (UK) Limited - Strategic Consultancy, Storage Audit, Change Management, Cabinet Orders and Move Preparation


JG Regan was invited to join the Vodafone Headquarters project team, to provide a strategic plan to consolidate space allocated to filing and workplace storage. There was also a need to audit the storage requirements of over 3,000 staff, prior to a huge relocation project. Vodafone were consolidating their 60 existing buildings in and around Newbury into a brand new, purpose built campus.

In this huge corporate move, JG Regan managed the entire filing and storage change and move process, from a wide variety of media types into a standardised A4 file and cabinet system. All Vodafone employees were ready to do business from Day-1 of occupation in their new building.

The positive energy surrounding the relocation was also channelled to move forward with some dramatic new ways of working. Not only were files now being stored in a different manner, but also used in a different way. The interaction of colleagues within the company was promoted along with the sharing of information.

As a direct result of our services, Vodafone successfully reduced their storage by 30%. All relocations were successfully operating, with cabinets and storage in place from 'Day-1' and through the introduction of new ways of working staff are now operating with greater efficiency.

UK Supermarket Chain - Strategic Consultancy, Storage Audit, File Media Standardisation, New Ways of Working and Reductions


JG Regan was commissioned to conduct a strategic study of records management, workplace storage and filing throughout our client's London Corporate Office portfolio. The organisation wanted to implement a new approach to storage and filing, one that was capable of matching and supporting a new, dynamic operating structure. Our client wanted to consolidate working practices from their eight existing buildings, into a new single, purpose-built HQ.

A large-scale audit and filing media conversion was carried out in preparation for their relocation their to new Holborn HQ.

Our recommendations included standardising and reducing existing hardcopy storage for their 3,000 staff.

Working with the Project Team and staff at all levels, we instigated, monitored and communicated the changes necessary. We worked with the client Facilities Team to establish a service level agreement specification and appoint an off-site archive provider, on behalf of our client.

Storage benchmarks were set and agreed in order to sustain and support the introduction of new ways of flexible working.

We were able to audit over 10-kilometres of filing, convert filing media and introduce new ways of working in just over five months.

As a direct result of our services, we succeeded in achieving a 65% reduction in storage, representing a single cost saving of £3 million and a year-on-year saving of £750,000.

As well as these massive savings, our client operates in a vastly improved way. This project is widely known throughout the relocation world as being a huge success, has featured in broadsheet editorials, and has been the subject of a national TV news report.

Wyeth Europa plc - Strategic Consultancy, Storage Audit and File Media Standardisation


Following research and having seen the inside of our client's new Holborn HQ this Berkshire-based, global pharmaceutical company contacted JG Regan for assistance with their own relocation to Maidenhead.

Wyeth Europa already had a team looking into records management but needed additional professional input to guide the project, make new recommendations and ensure a successful implementation phase.

Following the initial strategic study and a storage audit of their staff and current practices , JG Regan provided a report and presentation to the Steering Committee, putting forward solutions to enable the organisation to operate in a more efficient manner.

We worked closely with the Compliance & Standards Divisions to ensure all Data Protection policies were adhered to, as we monitored and encouraged a process of hardcopy reduction. Alongside the reductions, our security-cleared team also converted all filing into a standardised system.

As a direct result of our assistance, Wyeth Europa enjoyed a successful relocation, have experienced a reduction in hardcopy filing in excess of 25%, and now operate in a more flexible and efficient way.

HM Treasury - Storage Audit and Reduction Implementation





In order to support HM Treasury in their planning process and relocation from their existing building, JG Regan were appointed to undertake a full audit of all workplace storage held by the 1,100 Treasury staff. We worked closely with the HMT Project Team, including their Records Managers' to action, monitor and communicate a global 50% reduction in workplace hardcopy.

The project required specific sensitivity towards highly confidential and classified documents, a process we already had experience of from our work on the Cabinet Offices relocation project. All our staff have full security clearance and understand the special sensitivity of auditing classified documents.

As a direct result of our involvement, HM Treasury were able to achieve their target of a 50% reduction in workplace storage in just 5 months.
